Background:
We are a family run website & marketing organisation looking to add an administrator to the team. We are an experienced (we’ve been going for over 20 years!) and award winning organisation based in the Midlands. Creating the right energy in the organisation is crucial to our continued growth, so we are looking for an energetic, experienced and adaptable person to join us.
We feel this position could be a remote/work from home opportunity for the right person. If the successful candidate was able to visit us at our Office in Northamptonshire, then that would be ideal, but is not a requirement.
We support flexible working however the core hours would be between 930am-230pm. This is a part time roll, based on those core hours, Monday-Friday. Should the requirements increase, we would be looking to offer this to the candidate on a flexible basis – in addition the above hours.
Qualities we’re looking for:
Enthusiastic, eager to commit to the role and reliable
Enjoys working as part of a team
Proactive “out of box thinker” but able to follow strict protocols and processes
Well spoken and articulate, we may need you to speak directly with clients on occasion
An interest/basic knowledge of Marketing, Web Design and Programming would be ideal
Someone eager to progress into: project management/account management/general management
Key Skills:
Highly experienced general Administrator – attention to detail is essential
Ideally with prior PA experience and working with business owners
Highly experienced at using a variety of systems and programmes, CRM’s etc – must be able to learn new systems easily.
Have experience of using JIRA (an Atlassian programme) – ideal but not a requirement
High understanding of Microsoft – Outlook, Excel; and Google Workspace/G-Suite – Sheets, Docs (you must be able to produce reports and other types of documents when required)
Previous experience of creating documents essential – ideally having created process orientated documents such as SOPs (Standard Operating Procedures).
Previous experience of working with clients via email is essential
Great customer service – both for working with the team and also customers using a variety of forms including email, telephone or video conference
Job specifications:

As a general administrator within the organisation, your main tasks will revolve around supporting Management and our Production team in a variety of ways depending on business requirements on the day, including but not limited to:

Creating work tickets
Creating CSV files for upload
Producing data reports
Submitting and working with management on the various reports
On completion of work tickets, producing feedback reports
Emailing quotes/correspondence to clients from Management – as required
Organisation and set up of meetings (both internal and with clients)
Data collection and analysis
Virtual Filing/organisation
Support with managing of Email accounts
May also be required to sit in on meetings (virtually)
Transcription of meetings (we use a programme that does this,, but there is some editing required)
Feeding back and assisting in improving internal processes, including the creation of SOPs
Some PA work directly with the Directors
