Virtual Executive Assistant (Freelance)
We are looking for someone to come and join our team of remote workers here at JamPot Business Support. Due to demand from current and new clients need an experienced Executive Assistant who’s tech savvy, responsive and looking for flexible, freelance work.
Who are we?
JamPot Business Support was founded five years ago by husband and wife team Nikki & Simon Wheeldon. With combined experience in Executive Assistance, Recruitment, Administration, Web Design, E-commerce, Operations Management and Customer Service JamPot was created as a way for clients to get extra support without having to hire a full or part time team member. The company is completely remote and is now a team of 20 scattered all over the U.K.
We have several departments including Admin/Ops, EA, HR, Finance & Accountancy, Graphic & Web design, Legal support and Marketing including Social Media Management.
JamPot is growing and in incredible pace and plenty of client work in the pipeline we’re in need of an experienced EA to join the EA team.
Our clients range from small local businesses to Tech and AI start-ups as well as creative agencies in London, some turnover thousands and some turnover millions.
Who are you?
A professional from a senior administration background ideally with experience working with Start-Ups or experience working at C-Level.
You will definitely need to be used to working in fast paced environments. You will need to be a great problem solver, tech savvy and have excellent attention to detail. Our clients are often C-Level and incredibly busy so we like to limit the amount of questions or times that we need to pester them, this means having the confidence to figure things out yourself and knowing when is the right time to ask.
This type of work could be 1:1 support or supporting a team. The work may include Inbox & Diary Management, meeting scheduling, travel booking, office management, events management, social media support, support with podcasts and blogging, customer service support and, as you know with EA roles, all sorts of other things you’d never expect to be getting involved in.
Our clients use both GSuite and Office 365 so ideally experience with both of these is handy. However we do find ourselves being introduced to new software and tech with every client so in reality the ability to pick up new tech very quickly (often with the help of lots of googling) is key.
It is imperative that you have demonstrable EA experience.
How do the hours work?
We work with clients on an ad hoc basis so, at least initially, there would be no guaranteed hours. However, historically we have found that most clients will get into a rhythm with how they utilise our service. With any clients needing EA support it will often begin with a few ad hoc tasks but gradually grow into more regular work. We do also have some clients who we’re looking to hand straight over and so this makes it a little easier to get an idea of what the day to day would like for those.
Internally we use a time tracking software that allows you to log any time you’re working for a specific client. This means you can see how many hours you’ve been doing but we can also easily update clients too. Where possible we will always try to give a rough idea of how many hours a client might need but often, particularly at the beginning, it can be hard to be specific. Hours are flexible but will need to spread over multiple days so it’s important you can do at least a bit of work Monday- Friday.
What do I need?
For this role you will need to be self employed, have your own computer and decent WiFi. It’s imperative that you’re able to be as responsive as possible during the working week, not necessarily to immediately take on work but just in case we, or a client, have any quick queries.
We would recommend having your own insurance but, as a freelancer, that’s your call.
Perks?
Firstly you get to work from home and flexibly. You’ll be involved in a wide range of different work and with some super exciting companies. Working from home on your own all the time can get a bit lonely but you’ll also have the JamPot team there in our virtual office (slack) to chat to which can help a little.
The rate for this work will be between £24.50 per hour.
